An Upwork freelancer vs ScaleWise VA

We sell on Fiverr and Upwork ourselves, so this is not a page about how marketplaces are bad. It is about what a single freelancer can and cannot carry for a store that needs work done every day, and what the platform adds to the price.

The short version

A good freelancer is the best value on the internet for a defined task: a migration, a theme fix, a batch of listings. The trouble starts when the task is "run the store". One person has no cover, no second opinion and no procedure that outlives them, and the platform takes a cut of every hour on both sides. Use a freelancer for projects. Use us for the operations.

Use an Upwork freelancer when

  • The work has an end: a theme change, a data import, a set of product descriptions, a one-off audit.
  • You want to pick the exact person yourself and interview until you find them.
  • You have the time to manage them: briefs, reviews, follow-ups, and a replacement search when they move on.
  • The budget is small and irregular. A marketplace contract with no minimum is hard to beat for that.

Use ScaleWise VA when

  • The work recurs daily and has to happen whether or not one particular person is available.
  • You want the procedures written down and kept, so the store does not reset every time the person changes.
  • You want the hours evidenced (time logs, screenshots) without running a monitoring tool yourself.
  • You would rather talk to one accountable person about a team than manage the team.

Side by side

What you payThe freelancer's hourly rate plus Upwork's client fees: a marketplace fee on every invoice and a one-time contract initiation fee per contract. The freelancer pays a separate service fee out of their side, and since July 2026 Upwork sets that fee per contract by algorithm, so the rate you see is not the rate they keep.Hourly tiers from $4 to $8 an hour on the Hire pages, or a monthly retainer scoped to volume. No platform fee on either side; you pay us directly.
ContinuityOne person. When they take a better contract, get ill or go quiet, the work stops and the search starts again.A team of ten. Every store has a second person who knows it, and the procedures are ours to keep current, not one person's memory.
OversightUpwork's work diary if you use hourly contracts; otherwise trust. You review the output yourself.Time and screenshots captured in our own portal on every invoice, a written procedure per job, and a founder you can call.
Finding the right personYours to do: post, screen, interview, test. Most owners spend more on this than they expect and do it more than once.Done once, by us, when we hire. You get the person who fits the store and a replacement if the fit is wrong.
BreadthOne skill set. The listings person is rarely also the support person and the Flow person.Listings, support, inventory, store fixes and Pinterest ads inside one arrangement, with the right person on each.
Track record you can checkThe profile's reviews, which are real but tell you about past clients' tasks, not yours.Fourteen public case studies with the client named, and 4.9 from 17 reviews on Fiverr where we also sell.
ExitEnd the contract. Whatever they knew leaves with them.A month's notice; the procedures and the clean store stay with you.

The hidden hour

An owner hires a $12-an-hour VA on Upwork for twenty hours a week. On paper that is $240 a week. Add the client marketplace fee on every invoice and the contract initiation fee at the start, then the two to four hours a week the owner spends briefing, checking and answering questions, which is the real reason freelance arrangements feel more expensive than the rate. The freelancer, meanwhile, is keeping less than $12 after Upwork's variable service fee, which is why the good ones are always one better offer from leaving.

None of that makes the freelancer wrong. It makes them a project resource. The moment the arrangement has to survive a holiday, a resignation or a second store, you are paying a freelance price for an agency need and getting neither.

What you give up with us

  • Choosing the individual. You choose us; we choose who works on your store, and swap them if it is not working.
  • Upwork's escrow and dispute process. Our contract is direct, with time logs instead of a platform in the middle.
  • The absolute lowest hourly number. A solo freelancer in a low-cost market with no overheads will sometimes quote below our entry tier. What they cannot quote is a second person.
  • Speed of a single decision-maker. A freelancer answers for themselves; a team answers through a point of contact.

Questions people ask

Are you cheaper than Upwork?
Per hour, roughly comparable at the entry level and there is no platform fee on top. Per month, it depends on how many owner hours the freelance arrangement was quietly costing you. We are not the cheapest number on a screen; we are the cheapest arrangement that does not fall over.
Can I hire you through Upwork or Fiverr instead?
Yes, and some clients start that way. The marketplace adds its fee and its rules; the work and the people are the same. Direct is cheaper for both of us.
What if I already have a freelancer I like?
Keep them. Plenty of our clients do, for the specialist work. We take the daily running, and we will write procedures your freelancer can follow too.
Do you use Upwork's time tracker?
No. Our team clocks into Tarly, the portal we built, which captures time, activity and screenshots with the team member's consent. You see the record behind each invoice.

Where the figures come from

  • Upwork client and freelancer fees: Upwork Fee and ACH Authorization Agreement, effective 20 July 2026, sections 2.1 and 3.1 (marketplace fee, contract initiation fee, variable freelancer service fee).
  • Our hourly tiers: the Hire a VA pages. Reviews: fiverr.com/zawi358, read September 2026.

Prices and terms on other companies' pages change. If one of these has, tell us at hello@scalewiseva.com and we will correct it.

Not sure which one you are?

Tell us what the store is and what is eating your week. If we are the wrong fit we will say so and point you at the right one; that is cheaper for both of us than a month that does not work.
